Position Overview: Executive Assistant (Remote)

We are actively seeking a highly organized, proactive, and tech-savvy Executive Assistant to provide comprehensive administrative and operational support to our executive leadership team. Initially, you will work closely with the CEO and gradually expand your support to the COO and CLO, ensuring seamless coordination and efficient operations across departments.

This remote position is available exclusively to candidates based in Illinois, Pennsylvania, or Tennessee, reflecting our commitment to regional collaboration and compliance.

Key Responsibilities

  • Executive Calendar Management: Strategically manage and prioritize executive calendars using time-blocking methods to maximize productivity.

  • Communication Coordination: Monitor, triage, and respond to high-volume executive email inboxes, drafting responses and ensuring prompt follow-ups.

  • CRM Management: Oversee CRM (preferably HubSpot) data accuracy, deal flow tracking, task management, and reporting.

  • Meeting Preparation & Follow-up: Create detailed pre-meeting briefs and manage action items post-meetings using tools like Fireflies and ClickUp.

  • Systems Integration: Align and maintain internal communication, CRM, calendar, and project management platforms for optimal efficiency.

  • Documentation & Reporting: Maintain comprehensive executive playbooks, prepare weekly and ad hoc reports, and create email templates and outreach materials.

  • Shadowing & Support: Attend executive meetings, support communication protocols, and assist in internal task/system transitions.

  • Client Proposal Assistance: Collaborate on preparing customized service proposals, ensuring alignment with Extrity’s quality and standards.

  • Multi-Tasking: Effectively manage competing priorities and anticipate executive needs to ensure smooth day-to-day operations.


Required Qualifications

  • Minimum 2+ years experience in executive or administrative support roles

  • Advanced proficiency with Google Workspace (Gmail, Calendar, Drive, Docs)

  • Solid experience with HubSpot CRM or similar platforms (contact tracking, reporting, task management)

  • Familiarity with project management tools such as ClickUp or equivalent

  • Exceptional written and verbal communication skills

  • Proven track record of managing multiple priorities in a fast-paced environment

  • Strong problem-solving aptitude with excellent attention to detail

  • Professional demeanor with a high level of discretion handling confidential information

  • Experience working in startups or dynamic organizations is highly desirable


Preferred Skills (Bonus)

  • Experience with Fireflies or meeting transcription tools

  • Knowledge of internal communication systems and workflow automation

  • Ability to collaborate cross-functionally and drive process improvements

  • Familiarity with security or technology sector environments
